Job Description

The department of Mathematics and Computer Science is looking for a Management Assistant (approximately 20 hours a week). The tasks involve supporting the Security cluster (SEC) and the Eindhoven Security Hub (ESH).

SEC focuses on realizing a more secure and privacy-preserving digital infrastructure through research in emerging threat analysis, defensive security, data protection, and information-theoretic and quantum security.

ESH combines cutting-edge knowledge on cyber-attacks and cyber-adversaries with best-in-breed technology to provide state-of-the-art Security Operations Center to its partners, providing tailored SOC-services to their customers.

Tasks within this position include but are not limited to:

Secretarial support, such as scheduling meetings, planning foreign trips, administrative processing, and preboarding new employees; Preparing, organizing and reporting meetings and symposia, as well as monitoring and following up on action points; Receiving domestic and foreign visitors, arranging lunches, workplace and hotel accommodation; Point of contact for facility, logistics and practical support for employees, guests and students with questions about entering and leaving employment, declarations, project administration, room reservations, organization of clusters business trips/social activities, etc.; Contact person for finance, human resources and facility services; Maintain lists of office layout, mailing lists, personnel and PhD students. Help new employees to find their way in the Netherlands, e.g., housing, doctor, etc. 

Job Requirements

  • You have a MBO+ / HBO working and thinking level, preferably enhanced by secretarial or management assistant training, along with relevant work experience in a similar role.
  • You are proficient in MS-Office programs and quickly adapt to new software. You have excellent communication skills, an independent and proactive attitude, strong organizational skills, and a flexible, team-oriented mindset.
  • A strong command of English and Dutch, both oral and written, is required.
  • Key attributes: accurate, committed, eager to learn, hands-on, initiative, integrity, service-oriented, organizationally sensitive, reliable.

  • A monthly salary of minimum €2,872 to maximum €3,809 for full-time employment, depending on your knowledge and experience (scale 6 or 7 collective labor agreement for Dutch Universities).
